Team Access

Team access is available on the Dive Professional and Dive Center plans. It lets you grant premium DiveToolbox access to your students and instructors. Instead of each person purchasing their own subscription, you send them an access code from your account.

Access types

There are two types of access codes:

  • Student access (1 week) — Temporary premium access lasting 7 days from activation. Student codes are drawn from a monthly quota that resets each billing cycle.
  • Instructor access (permanent) — Long-term premium access that remains active as long as your subscription is active. Instructor access can only be granted by Dive Center plans.

Granting access

To invite someone to your team:

  1. Enter the recipient's email address
  2. Choose the access type (student or instructor)
  3. Click Grant Access

If the email is already registered on DiveToolbox, the access is granted immediately. Otherwise, the recipient receives an invitation email with instructions to create an account and claim their access.

Managing access codes

Once you have sent invitations, you can track and manage each code:

  • Status tracking: Each code shows one of the following statuses:

    • Claimed: The recipient has activated their access
    • Pending: The invitation has been sent but not yet claimed
    • Expired: The invitation was not claimed in time
    • Revoked: You cancelled the access code
  • Edit email: Update the recipient's email address before the code is claimed. Changing the email sends a new invitation to the updated address.

  • Resend invitation: Re-send the invite email if someone didn't receive it

  • Revoke access: Cancel an unclaimed code or remove someone's active access

Quotas

Your plan determines the maximum number of student and instructor codes you can grant (see the table in Access types above).

  • Student codes reset monthly with your billing cycle. When the next billing period starts, your quota is replenished.
  • Instructor codes are permanent and do not reset. Once all your instructor slots are filled, you cannot grant more unless you revoke an existing one or purchase additional slots.
Quota and revocations

Revoking an unclaimed (pending) access frees up the quota slot immediately. However, revoking a claimed (active) access does not free up the slot — the quota is only fully replenished at the start of the next billing cycle.

Purchasing additional accesses

If you need more slots than your plan includes, you can purchase additional accesses (student or instructor). These are one-time purchases billed separately from your subscription and remain active as long as your subscription is active.

tip

Review your team access list regularly. Revoking unclaimed codes from inactive invitations frees up slots for new team members.
